Billing, Discounts & Insurance

Raise itemized GST invoices, apply governed discounts with an audit trail, take partial payments, and run the full TPA/insurance claim lifecycle.

DoctSoft's billing engine is built for accountability. Bills are itemized, tax-compliant, and financially immutable: nothing is ever deleted, so your records always reconcile and every adjustment is traceable.

Itemized counter bills

Bills are assembled line by line from the services and items the patient received, then issued as GST invoices suitable for Indian tax compliance. Each line is visible to the patient and to your finance team.

Money is stored in paise (integer). Working in the smallest currency unit avoids rounding errors, so totals, taxes, and refunds always add up exactly.

Governed discounts

Discounts are controlled rather than ad hoc. They are organised into categories, each with a cap, and larger reductions require sign-off:

  • Discount categories define who may grant what, with a maximum permitted amount or percentage.
  • Admin approval is required for large discounts beyond the standard cap.
  • Every discount is logged, so you always know who applied it, how much, and why.

A discount above its category cap cannot be applied silently. It needs admin approval first. This prevents revenue leakage at the counter.

Payments

  • Partial payments are supported: a patient can pay a bill across multiple instalments, with the outstanding balance tracked.
  • Overpayment is refused: the system will not accept more than the amount due on a bill.

Nothing is ever deleted

Bills are never erased. If something must be undone, it is cancelled or refunded, and that action remains on the record as an event, not a deletion. The original bill and its adjustment both stay visible. This gives you a complete, tamper-evident financial history for audit and reconciliation.

TPA / insurance claims

For insured patients, DoctSoft runs the claim lifecycle against a payer bill: a bill designated as billable to a Third Party Administrator (TPA) or insurer. You submit the claim on that bill, the payer approves it in full or in part, and on settle a TPA payment is posted against the bill reflecting what the payer actually paid:

StageWhat happensFinancial effect
SubmitClaim sent to the TPA on a payer billClaim opened; no payment yet
ApprovePayer approves full or partial amountApproved figure recorded on the claim
SettlePayer settles the approved amountA TPA payment is posted to the bill

Any gap between the billed and approved amounts is patient responsibility. Collect it as a partial payment on the same bill.
